DataMotion Glossary

Account Information

This is the username and password that is used for accessing the DataMotion system.

Address Book

This is where you will find all of your saved contacts. You can add and manage your contacts as well as add checked addresses to messages.

Compose

This is how you will generate a new Secure Email. By clicking on the Compose link, a new email will open. You can enter the recipient’s email address in the To: field, and you can add Cc’d/Bcc’d recipients by clicking the Show Cc and Show Bcc link. Enter the subject of the email in the Subject: field.

Note

The Subject: field has a maximum character length of 255 characters.

You can add attachments to the email by clicking the Browse button. In the Message: field, enter the body of your email. You can use the toolbar above the Message window to format your message. Once your message is ready, click the Send Secure button which is located right above the To: field.

Note

Recipient User types do not have a compose link, because they do not have the ability to compose a New message, they can only respond to a secure message sent to them.

E-Mail Receipts

These are general notifications sent via e-mail informing the sender of a message that the recipient has opened or read an e-mail or attachment.

Inbox

The Inbox is where all secure messages that have been sent to you are located. From the Inbox, you can read and manage your messages. If you would like to download a local copy of a specific message to PDF file, click on the subject line link of the message you would like to download and then Click on the link that says Download Message. To Forward, Reply To Sender or Reply To All, please click the corresponding links.

Member Center

This is where all of the preferences for a particular mail user are stored. The Member Center is located within your DataMotion portal. You have the ability to add or remove users, run reports, etc.

Message Expiration

This is the length of time a message is available before it expires. Once it has reached the expiration date the message is deleted. Users are able to change the length of time before the message expires, it ranges from 1 day to 1 year.

Outlook Plugin (The Button)

The button is a plugin that is designed for Microsoft Office Outlook. This plugin gives a user with a valid DataMotion account the ability to send secure messages directly from their Outlook. It also gives the user the ability to retrieve secure emails sent to them in cleartext within outlook. To download the button, please visit https://ssl.datamotion.com and log in with your registered email address and password. Located in the Member Center, there is a link for Client Downloads. Click this link and then select your proper version of the button from the dropdown menu and click Download Now!.

DataMotion Delivery Types

This can be found in Preferences under My Account in the DataMotion Portal. You are able to choose from three different delivery options: PDF, Default, or General Notifications.

  • PDF – When you receive your secure message as a password protected PDF directly in your e-mail client
  • Default – Follows your organization’s default properties
  • General Notifications – Notifies you when you have new messages or your message has been read by the recipient

DataMotion Web Portal

This web portal is where your DataMotion account and messages can be found. The portal can be accessed by using a web browser, and visiting https://ssl.datamotion.com. From here you can view your messages, compose new messages, and manage your account and preferences.

Track Sent

The Track Sent link allows you to view and manage all secure emails that have been sent. By clicking the Subject link of the message, you can set some advanced options such as setting the expiration of the message or password protecting it by clicking the Advanced Options link. You can also edit the message and resend it as a new message by clicking the Edit as New Message link, or you can download the message to PDF by clicking Download Message.
