Rules

The Gateway allows you to create Rules that will be applied under certain conditions that you define. Actions will be carried out (also defined by you) according to the conditions that are met.

To create a rule you must give it a name using the Rule Name: field, at least one Condition, and at least one Action. The conditions and actions available to you are described below.

Conditions

The conditions located on the left side of the New Message Rule window are defined similarly to the Policy conditions and may feel familiar to you already.

Message is sent at a particular time

You can select from among the days of the week and two hour time intervals starting at 0:00 – 1:59. You can also select preset times using the Presets: drop-down. This drop-down contains commonly used time intervals for enabling a rule. If a message does not contain any date information, the time that the message was processed by the Gateway will be used.

IP Address of the message source

When a computer connects to SMGW to send a message, its IP Address is recorded along with the message. Use this condition to set one or more IP Addresses or ranges of IP Addresses to match.

Header field contains specific words

The message header contains many useful fields containing information about the origin, composition, and third-party anti-spam systems if present. The spam score of the message is also displayed if anti-spam information is present. You can set words, patterns, or regular expressions as the Text to Match.

From contains people, domains or words

Searches the From field of the email addresses entered into the list on this window, for specific text. Single email addresses, patterns, or regular expressions can be entered into this window’s list.

To contains people, domains or words

Searches the To field of the email addresses entered into the list on this window, for specific text. Single email addresses, patterns, or regular expressions can be entered into this window’s list.

CC contains people, domains or words

Searches the Cc field of the email addresses entered into the list on this window, for specific text. Single email addresses, patterns, or regular expressions can be entered into this window’s list.

BCC contains people, domains or words

Searches the Bcc field of the email addresses entered into the list on this window, for specific text. Single email addresses, patterns, or regular expressions can be entered into this window’s list.

Recipient contains people, domains or words

Searches the To, Cc, and Bcc field of the email addresses entered into the list on this window, for specific text. Single email addresses, patterns, or regular expressions can be entered into this window’s list.

Recipients are in a list of domains

Recipients of domains entered into this list can be either a single domain or a group of domains. Pattern matching can also be used via wildcards.

Subject contains specific words

Text entered into this list will trigger the condition when the Subject line of messages contains any of the text. Single words, patterns, or regular expressions can be used.

Body contains specific words

Text entered into this list will trigger the condition when the Body of a message contains any of the text. Single words, patterns, or regular expressions can be used.

Subject or Body contains specific words

Text entered into this list will trigger the condition when the Body of a message and the Subject of a message contains any of the text. Single words, patterns, or regular expressions can be used.

Subject or Body or Attachments contain specific words

Text entered into this list will trigger the condition when the Body of a message, Subject of a message, and any attachments of a message contain any of the text. Single words, patterns or regular expressions can be used.

Attachment contains specific words

Many types of message attachments can be scanned for certain words or phrases. However, certain message attachments may be written in a format that does not contain plain text words, and as such, will not produce the desired matching results. To determine if an attachment type will be successfully scanned, open it up in Windows Notepad and browse through the document. If relevant words can be viewed, and they appear as contiguous letters with no extraneous symbols or spaces between them, then that attachment type can be scanned. In some cases, words may be split across an internal boundary within the file, and not appear through this method as being contiguous. The Gateway cannot match these words.

Attachments are in the message

You can choose if a message will trigger the condition if there are no attachments in the message, or the message has one or more attachments.

Attachment names of a particular pattern are in the message

You can choose to trigger the condition based off of the type of file attached to messages.

Message Size is at least

You can set the size of a message in kilobytes, and if a message meets or exceeds this size, the condition will be triggered.

Priority is set for the message

This condition is useful for the many email clients that flag messages with a different level of priority. Outlook for example, uses a red exclamation point for high priority, and a blue down arrow for low priority. You can select either High or Low priority to trigger the condition on these types of messages.

For all messages

Causes any message that is evaluated by this rule to trigger the condition and activate the action assigned to the rule.

Toggle And / Or

Selecting this button will allow you to set multiple conditions to trigger the rule’s action. You can set “Or” to have a condition be set as Where “condition 1” Or “condition 2” meaning that the rule will be triggered if one of the conditions is met. You can set “And” to have a condition be set as Where “condition 1” And “condition 2” meaning that the rule will be triggered if both or all (if more conditions) are met.
